What-if planner

How much additional time off would bring your projected year-end balance down?

40 hours ≈ 5 eight-hour days
Enter your balances in Settings to calculate a scenario.

How the forecast works

1. Start with the actual balances from your most recent pay statement and the date those balances were accurate.

2. Add your biweekly leave accruals through the end of the leave year.

3. Deduct annual leave taken since the balance date and future planned leave.

4. Any projected annual leave above your chosen carryover limit is marked additional leave to use.

Other leave banks & expiration dates

Independent of annual carryover

Credit hours, restored leave and time-off awards are kept separate from annual leave. Confirm individual expiration dates and balances with your LES and facility.

Leave activity

Record leave taken, upcoming time off, and balance corrections after your last pay statement. Use HH.MM (e.g., 1.30 means 1 hour 30 minutes).

Add a leave entry

Use HH.MM for durations (8.30 = 8h 30m); minutes must be 00–59. Add separate entries for multi-day leave.

Planned leave reduces the year-end forecast but does not change today's estimated balance. Mark it taken after it happens.

Calendar & shifts

See regular shifts, planned leave and individually added overtime on your scheduled OFF days.

ShiftAnnual leaveSick leaveDay offOvertime (OT)Federal holiday*In-lieu holiday (IH)

Select a date to edit that shift or log leave. Overnight shifts are shown on their starting date. Overtime appears on its starting date and does not change your regular shift cycle or your leave balances. Select regular shifts and explicitly save planned leave.

Plan leave across selected shifts

Use “Select shifts,” then choose dates in the calendar. Durations automatically match the remaining scheduled, chargeable shift hours.

0 shifts · 0.00 hours

No leave approval is requested. Existing entered hours are excluded to avoid duplicate planning. For partially covered shifts, only remaining hours are added.

Selected day

Choose a date on the calendar.

Enter the non-chargeable hours for your actual in-lieu holiday (for example, a Thanksgiving in-lieu holiday on your scheduled workday). Federal holiday dates never assign these hours automatically.
Use this to label an in-lieu day such as November 25 for Thanksgiving. Existing non-chargeable hours are preserved.

Use 24-hour HHMM time without colons: 1400-2400 is a 10-hour shift ending at midnight; 2200-0600 crosses into the next day. Enter OFF for a day off. Blank uses the repeating pattern.

Overtime on scheduled day off

No overtime

Select an OFF day to enter one or more one-time overtime assignments. Your repeating cycle stays unchanged.

24-hour HHMM: 1400 → 2400 is 10 hours, and 2200 → 0600 ends the next day. The end time may be 2400.

Repeating work schedule

Enter a weekly pattern or a rotating cycle. Manual date overrides always win.

Your schedule is a planning aid, not an official FAA assignment. Changes to your actual shifts should be entered as day overrides.

How recommendations are built

1. Start with your current projected use-or-lose after already scheduled annual leave.

2. Find work shifts still available before the leave-year ends, using your recurring cycle and date overrides.

3. Prefer shifts beside known RDOs and existing leave, creating longer continuous time away from work.

4. Select full remaining shifts until the annual leave target is covered. Review dates and request leave through the FAA's normal process.

Holiday treatment is never assumed from the standard federal calendar. Enter your confirmed in-lieu holiday hours for any applicable shift. Overtime entries are excluded from annual-leave chargeable hours and stop an OT day from being treated as a full day off for break optimization. Staffing, leave bidding and approval are not evaluated.

Cloud account & synchronization

Private account — Firebase Firestore

Each controller has a separate account. Leave settings, entries, repeating shifts, overtime, holiday selections and LES-derived leave totals sync between signed-in devices. Original PDFs are not uploaded.

Signed in as:

Waiting for Firebase configuration.

Sync conflict — choose a version

This device has unsynced edits, but another device changed the cloud record. Download a JSON backup before resolving.

To prevent overwriting edits from another device, conflicting changes require your review. Offline edits are retained locally and retried when a connection returns. Large data files may exceed Firestore's per-document size limit; always keep JSON backups.

Settings & backup

Match the dates, accrual rates and starting balances to your agency's leave records. Leave values use HH.MM: 249.15 means 249 hours and 15 minutes, not 249.15 decimal hours.

Import your latest FAA Earnings & Leave Statement (LES)

Text-based DOT PDF statements. A value such as 249.15 is read as 249 hours and 15 minutes. Your PDF is read on this device; only leave numbers and the pay period date are kept.

LES reconciliation history

Last 24 imports

When a newer LES is imported, compare the expected balance (from prior LES, accruals and recorded taken leave) with the actual new LES. A variance indicates an item to review, not necessarily a payroll error.

1. Your leave balance snapshot

Copy the current balances directly from an official pay statement.

Use the pay period ending date reflected by these balances (not the pay date).

2. Leave accrual rates

Choose the accrual shown on your pay statement.

3. Leave year dates

Standard OPM dates are prefilled. Verify your specific payroll schedule.

4. Additional leave banks

Track these independently of annual leave. An award balance may be unclear on the LES; review it manually. Enter blank when unknown.

One deadline per bank is supported. If you have different restored-leave tranches or award expirations, track them separately in official records.

5. Review & save

Your snapshot is the starting point for projections.

Pay periods: This tracker assumes accruals are credited at the end of 14-day periods anchored to the leave-year end date.

Six-hour accrual: Credits 10 hours (rather than 6) in the last pay period of the leave year.

Special rules: Leave transfers, restored leave, changes in your accrual rate, uncommon tours, or a personal leave ceiling may require a custom setting or balance adjustment.

For automatic reopening, always use the same GitHub Pages site in the same regular browser profile. Changing from a downloaded HTML file to GitHub Pages, using a private window, switching browsers/devices, or clearing website data can result in a separate or empty save. Safari may clear script-created storage after extended periods without interaction. Keep a JSON backup for long-term protection.

Backup and restore

Export a plain JSON backup of your settings and entries. Store it securely if your leave notes are sensitive.

Backups remain the safest protection against browser storage cleanup or moving to another browser. When signed in, your leave data (but not original LES PDFs) is synced to your private Firebase account. Your files are never saved in the GitHub repository.

Data management

Reset leave entries or wipe the tool entirely.

These actions cannot be undone unless you've saved a backup.

Official references

All leave balances and entries use the FAA LES HH.MM hours-and-minutes convention. The tool uses standard federal leave-year calendars and accrual conventions. Verify FAA-specific and individual exceptions against your own payroll and HR guidance.
